The Employee Exit Module in TeamNest serves as a central dashboard to ensure seamless separations when an employee’s exits a company. It efficiently manages the resignation processes, streamlines paperwork and automates the vital processes of Offboarding ensuring a smooth transition.
For Admins:
The Employee Offboarding policy can be set up from:
Admin Section > Setup Polices > Onboarding & Exit
- Every organisation has a set of tasks that an exiting employee needs to complete before the final handover and settling the last dues. These Offboarding-related tasks for the exiting employees can easily be set by the Admin from:
Admin Section > Setup Polices > Onboarding & Exit > Exit Tasks
2. Clicking on the ADD Exit Task button opens up the Task Window. In this window, the Admin can set various offboarding-related tasks i.e. Return of Assets, formal communication to associates outside of the organisation, Knowledge Transfer to the new incoming employee, etc.
3. Once the Exit Tasks are created, navigate to:
Admin Section > Setup Polices > Onboarding & Exit > Add Common Policy
Give a name to the Policy in the Basic Policies tab. Then go to the Exit tab that will help define other settings related to Exit such as Notice Period, and whether employees can initiate their resignation on the platform.
4. You can also update any of the earlier created policies at any time.
5. Once the policy is created, the same can be applied to employees as applicable from:
Admin Section > Set Up Policies > Master Policies.
6. Now from the Update Policy window for the applicable Master Policy, select the applicable Onboarding & Exit policy from the dropdown list. Also, set the Approval workflow for the Exit tasks. Save the configuration by clicking on the Update button.
7. Once the policy is set, if an employee initiates the resignation process, the portal will change the employee’s Status to On Notice from Active.
8. The Admin/HR Head will receive an e-mail as well as a notification if an employee initiates the resignation. The Admin/ HR Head can Approve or Reject the raised Resignation Request from:
Admin Section > Requests > Profile Changes
9. From the Profile Changes page, select On Notice and Initiated Resignation options.
10. You will be able to see the list of pending Resignation Requests raised. On clicking on Approve, a window will open where you will pre-fill the Actual Date of Relieving as per the Notice Period policy. You can modify the Actual Date of Relieving, if it is different from the pre-filled value. On the Actual Date of Relieving, the employee status will automatically be changed to Resigned and the login will be disabled.
11. Also in the Admin Section > Exit Grid an entry will be created for that employee. The HR can follow through on a smooth and timely exit for the employee by keeping a tab of all separation-related tasks from this grid.
12. On the completion of all Exit tasks and other formalities for the exiting employee, HR can process the Full and Final Settlement and update the FFS Status field by marking it as Completed. Please note that the FFS Status updated in the Exit Grid is not directly correlated with the FFS processing done from the Payroll section. The FFS processing still needs to be done by the Payroll department.
For Employees:
1. If the Company policy permits, the employee can initiate resignation by clicking on the Initiate Resignation button from:
Employee Section > My Profile >Organization > Resignation Initiation/Cancellation
2. After clicking on the Initiate Resignation button, the employee can add the Reason for Resignation and click on Submit.
3. The Admin/HR Head will receive an e-mail as well as a notification if an employee initiates the resignation. The Admin/ HR Head can Approve or Reject the raised Resignation Request from:
Admin Section > Requests > Profile Changes.
