Employees can utilize two types of Holidays i.e. Fixed and Optional. Fixed Holidays are compulsory. Optional Holidays, as the name suggests can be taken based on the Employee’s choice. The organization can define the Optional Holidays as well as the total number of Optional Holidays an employee can take in a Calendar Year.
For Employees:
- Employee can avail of an Optional Holiday by clicking on the Leave tab. An employee can check the Optional Holidays available in the Calendar for any given month.
- Steps for Applying for Optional Holiday:
Employee Section-> Leaves-> Apply for Leave - Select Leave type as Optional Holiday. Fill in the other details and click on the Submit Option.
- If an employee tries to take an Optional Holiday on a date that is not defined as an Optional Holiday, then the system will not allow applying for the request. It will give an error as shown below.
- If an employee has already taken the maximum number of Optional Holidays allowed as per the policy, then applying for one more Optional Holiday will give an error.
- After applying for an Optional Holiday, the employee can check the Status in the relevant tab. When the concerned Reporting Manager as per the Approval Workflow approves or rejects the request, the employee will get a notification and an e-mail.
FOR ADMINISTRATORS:
The Administrator can set the maximum number of Optional Holidays allowed in the Holiday Calendar.
Goto Admin Section-> Setup Policies-> Holiday Calendar and click on Edit against the relevant Holiday Calendar.
Enable the Allow Optional Holidays option and then enter the maximum number of Optional Holidays allowed.
Then add the details of the Optional Holiday Dates in the Holiday Calendar. This is the same screen for entering the Fixed Holidays as well.
Finally, the Administrator can set the Holiday Calendar in the Master Policy and then apply the Master Policy to the Employees.
Go to Admin Section-> Setup Policies-> Master Policies to set Holiday Calendar in Master Policy.
Go to Admin Section-> Employee Grid to apply a Master Policy to an Employee.- The employee can check the Optional Holiday balance in the Leave counter from the Employee Section > Leaves.
